Using the form builder

How to access the Onboard B2B form builder, with an overview of the three form types, field categories, and form steps.

Overview

The Onboard B2B form builder lets you customize the forms your wholesale customers fill out when applying for a B2B account, managing their locations, or adding company contacts. This article covers how to access the form builder, the three form types, the three field categories, and form steps.

How to access the form builder

In your Shopify admin, go to Onboard B2B > Forms.

The Forms and blocks page has two cards: Company application form, and Other forms, which contains the Company location form and Company contacts form.

Note: The Company location form and Company contacts form require the self-service entitlement (Growth plan or higher). If your plan doesn’t include self-service, these forms appear with a “Not available on your plan” badge.

The three form types

There are three form types in Onboard B2B, each used in a different context. Each form ships with one step (Step 1) and the fields below already in place.

The three field categories

Understanding the three field categories is key to using the form builder effectively.

1. Preset fields

Map directly to Shopify B2B data

Preset fields (found in the General, Shipping, and Billing sections) are tied to real Shopify B2B data, things like company name, address, and tax ID. Each preset field can only be added once per form and can't be duplicated, and some can't be removed (Email address and Permissions on the Company contacts form, and Location name on the Company location form).

2. Custom fields

Save data to Shopify metafields you define

Custom fields (found in the Custom section) let you collect any additional information you need. They save to Shopify metafields of your choosing. Unlike preset fields, custom fields can be added any number of times and duplicated freely. For the available field types and the metafield type each one uses, see Form builder field types.

Each custom field has a Metafield section in its settings, including:

  • Supported type: read-only; one Shopify metafield type per field

  • Target: Company or Company location (application form only)

  • Definition: choose a compatible existing definition, or click “Create a metafield definition” to set one up inline in Shopify

Important note 📝

Every custom field must have a metafield definition selected before you can save the form. If a definition is later deleted in Shopify, a “One or more form fields are missing metafield definitions” banner will appear; re-assign or remove the affected field to resolve it.

3. Display elements

Structure the form without collecting data

Display elements (found in the Display section) structure and present your form without collecting any customer data. Available display elements:

  • Heading: choose tag (H1–H4) and alignment

  • Paragraph: rich text with font size control

  • Link: URL with option to open in a new tab

  • Divider: adds vertical spacing

  • Container: group fields together by dropping them inside

Note: A display element’s Label is internal only; it’s used when setting up Rules but is not visible to customers.

To make a field required or add validation rules, see Form builder validation.

Form steps

You can break a form into multiple steps to keep it organized and easier to complete. In the form editor, under Other, select Form steps.

Click “Add new form step” to create Step 2, Step 3, and so on. Steps appear as tabs in the preview with inline-editable titles. To assign fields to a step, drag them onto the appropriate tab.

Steps can be reordered by dragging. Step 1 can't be deleted, and a step that still contains fields can't be deleted until you move or remove its fields.
